You have found the Spanish town you could call home. You can picture the morning coffee, the Mediterranean walks and the life waiting on the other side of the Atlantic. Then comes the question that turns the dream into a plan: When is your Spain consulate visa appointment?

For Americans applying for a Spanish residence visa through a consulate, that appointment date becomes the deadline everything else works back from. Your background check, medical certificate, apostilles, sworn translations and health insurance paperwork must be ready and valid when you apply.

Start preparing before you book, certainly. But understand the appointment process early, before spending money on documents that could become too old while you wait.

There are exceptions, including eligible digital nomads applying inside Spain and certain family residence routes. For many movers, however, securing the right appointment is the first major milestone.

Your appointment gives your move a working timeline

A visa application involves several moving parts, often handled by different organizations. Your doctor issues one document, the FBI another, and an apostille authority authenticates eligible public documents. A sworn translator may then need the completed paperwork before producing the Spanish translation.

  • Your doctorMedical certificate
  • The FBIBackground check
  • Apostille authorityAuthenticates eligible public documents
  • Sworn translatorSpanish translation

Your appointment brings those separate tasks together. Working backwards helps you decide when to request documents, arrange translations and finalize insurance without leaving everything until the last week.

It also exposes unrealistic plans. If your preferred departure is approaching and you have neither an appointment nor the necessary paperwork, you may need to adjust your moving date.

Consulate direct or BLS? What is the difference

The Spanish consulate is the authority responsible for deciding your visa application. Spain’s consular network in the United States includes offices in Los Angeles, San Francisco, Miami, Washington DC, New York, Chicago, Houston and Boston, among others.

Each office serves a particular jurisdiction. You normally apply according to your legal residence, rather than choosing whichever city appears to have the earliest appointment. Check the jurisdiction carefully, including any divisions within a state.

The Spanish consulateThe authority that decides your visa application. Some applications still go directly through the consulate.
BLS InternationalA private application service provider. Where your category goes through BLS, it handles intake and forwards your file to the consulate. Its service charge is separate from the visa fee.

Procedures can differ by visa category even within the same jurisdiction, so a friend’s student visa instructions may not apply to your non-lucrative visa.

Always begin with the consulate’s official website. Follow its instructions to the authorized booking channel, not search advertisements or a screenshot someone posted months ago.

How to get your Spanish visa appointment

1
Start with your address

Find the consulate responsible for your address

Search for the relevant Spanish consulate on Spain’s official foreign affairs website. Look for its consular jurisdiction information and confirm that your place of residence falls within it.

Check what evidence of residence you must provide. Save the official page so you can return to it throughout the process rather than relying on search advertisements or an old screenshot.

2
Pick your visa category

Open the page for your specific visa

Choose the non-lucrative residence, telework, study or other category that matches your circumstances. Read the whole requirements page, including appointment instructions, submission windows, fees and document formats.

Use our Spain visa page to find the relevant GuiriGuru guide and checklist. Keep your consulate’s current requirements alongside it: local instructions determine what your application needs.

3
Book through the right channel

Follow the official booking link

If the page directs you to BLS, use that link to reach the correct location and visa category. Select the national visa booking option where instructed, rather than the short-stay Schengen tourist visa option.

You may need to create an account and verify your email before booking. Use an email address you check regularly, enter your details carefully and check your junk folder for verification messages.

Creating an account does not mean you have secured an appointment. Complete the booking process and save the confirmation showing your date, time, location and application category.

4
Be persistent

Check availability early and return regularly

Appointments can be limited. Check the authorized system regularly and follow any published instructions about availability. Avoid assuming that every office releases appointments on the same schedule.

Choose a realistic date that gives you enough preparation time and falls within your visa’s permitted application window.

Before canceling, read the local rules. BLS Houston, for example, publishes a waiting period before applicants can rebook after a cancellation or missed appointment, with potential fee consequences. Check your own center’s current policy rather than assuming you can immediately replace a slot.

5
Work backwards

Plan your documents backwards

Make a checklist with these columns for every document, and add a buffer for corrections or delivery delays:

  • The document + Apostille
  • Issuing organization
  • Processing time
  • Translation requirement
  • Latest acceptable issue date
  • Buffer for corrections & delays

Medical certificates often need to have been issued within three months of application. Some consulates, including Houston, publish a six-month validity period for criminal record certificates. These are not interchangeable deadlines, and requirements can vary by route and office.

Check your exact checklist before ordering. An apostille authenticates a document; it does not give an older background check a new issue date. Arrange sworn translations after confirming which documents and apostilles must be translated.

Example: your appointment is in June
  1. 1Work out the datesConfirm the acceptable issue date for each document
  2. 2Background checkOrder it so it is still valid in June
  3. 3Apostille & translationAllow time for the full sequence
  4. 4June appointmentEverything valid on the day

Ordering everything months earlier can create unnecessary replacement costs. Check each document’s validity individually.

6
Don’t leave it to the last week

Finalize your health insurance before you attend

If your route requires private insurance, arrive with the required certificate and supporting paperwork. A quotation or insurance card alone may not satisfy the checklist.

For non-lucrative visa applications, look for comprehensive coverage from an insurer authorized to operate in Spain, meeting the applicable requirements for no copayments, deductibles or waiting periods. Ordinary travel insurance generally serves a different purpose.

Coordinate the policy’s start date with your planned entry and the consulate’s requirements. You can often arrange future-dated coverage, but confirm the exact date and required coverage period before paying.

Allow time for underwriting, signatures, payment and certificate issuance. Disclose medical history accurately and resolve coverage questions before your appointment approaches.

Digital nomads have two application routes

Route A · From the USEligible remote workers can apply for a telework visa through the Spanish consulate responsible for their US residence. That means following the relevant consular appointment and document process.
Route B · Inside SpainEligible applicants who are legally in Spain can apply online for a telework residence authorization through the Large Companies and Strategic Groups Unit (UGE). No US consulate appointment, and authorization for up to three years, subject to eligibility.

Prepare before traveling and submit while your stay is legal. Do not leave eligibility checks, foreign documents or the filing arrangements until your final tourist days. Explore our Digital Nomad Visa guide and checklist.

One more appointment after approval. The residence card process involves a separate police appointment for fingerprints and your TIE. That appointment is distinct from applying for permission to reside.

Spouse of an EU citizen

If your spouse is a citizen of another EU country, such as Ireland, your route may be residence as the family member of an EU citizen. US citizens can generally enter Spain visa-free for a short stay and pursue the appropriate family residence application in Spain when eligible.

The EU spouse must meet the relevant residence conditions. Where they are not working, sufficient resources and comprehensive health coverage for the family are generally important. Private insurance may be needed if suitable public coverage is unavailable. The family card application normally has a three-month filing deadline from entry, so investigate local procedures promptly.
